Position Description
The position of Administrative Assistant is an administrative position of the Erie Soil and Water Conservation District (District) authorized by Section 940.08 of the Ohio Revised Code and shall be subject to the direction of the District Board of Supervisors (Board) and the District Director (Director).
This position coordinates the administrative and financial services for the District. These duties generally include: administrative support, accounting, and reporting financial information to the Board, Director, District staff and auditors. The administrative assistant will also assist with administration of special initiatives and grant projects.
Essential Functions
- Prepare and compile proper documentation for regular and special Board meetings
- Maintain employee files, benefits information and required employment posters
- Prepare required legal notices for local newspaper
- Maintain District records in accordance with the District Records Retention Schedule and Open Records Laws of the State of Ohio
- Coordinate and maintain District equipment inventory
- Coordinate maintenance of District vehicles and equipment
- Coordinate equipment rentals
- Assist in processing and approval of employee timesheets
- Assist with development of bid/contractual documents
- Stay informed on available local, state and federal resources and requirements related to District operations.
- Assist with and submit SWCD internal program review to the Ohio Department of Agriculture
- Maintain financial records in compliance with Ohio Department of Agriculture Financial Audit Standards
- Process accounts receivable: billing, receipts, bank deposit
- Process of accounts payable: check preparation, purchase order preparation, petty cash
- Process monthly reconciliation of District bank accounts
- Prepare financial statements and reports for Board review and approval
- Prepare records and reports for preparation of District and program budgets
- Develop annual financial report
- Develop and distribute 1099 forms
- Assist with implementation of conservation programs administered by the District
- Assist with the various District programs, such as education and outreach events or natural resource survey/monitoring
- Develop and provide public education for local conservation issues including presentations, articles, fact sheets, social media posts, website content, etc.
Requirements
Education
- A minimum of an Associate Degree from an accredited university in natural resources, environmental science, biology, agriculture, business management, accounting, or a closely related field
- Or, have demonstrated the equivalent in experience and knowledge
Skills
- Basic computer competency with knowledge of computer applications, such as Microsoft Office, e-mail and internet/web-based applications
- Possess knowledge and proficiency with accounting software (i.e. QuickBooks Professional and Harris Financial)
- Working knowledge of District policy and accounting procedures
General
- Must maintain a valid Ohio driver’s license, insurance, good driving record, and be able to operate motor vehicles during daylight and evening hours, on both public and private roads
- Must communicate effectively in English using both written and oral forms
- Must maintain a clean and neat appearance consistent with the public contact aspect of the position
- Must possess personal qualities to be able to work effectively with the general public
- Have a working knowledge of District philosophy, programs, responsibilities, and authorities
- Understand the responsibilities and authorities of the Erie SWCD Board of Supervisors and employees
- Must be willing to attend night meetings and overnight travel for training on occasion
- Must be willing and able to work outdoors in all types of weather conditions
- Must follow the District employment policies and all local, state, and federal regulations
- Provide assistance to the public in a non-discriminatory manner

Pay: $18.00-$22.00/hr
